The Program Committee person running the meeting for a particular month selects the location (if not already reserved) and seating configuration ("U" shape, rectangle, or separate round tables, etc.), reserves the room and arranges the configuration with the restaurant, sets the agenda (and sometimes even distributes a written agenda in advance via e-mail if that would be useful), arranges for an outside speaker (if any) or member spotlight presentations or other program exercise, sends around the e-mail notice of meeting about 3 weeks beforehand to request member RSVPs, sends a reminder notice to members about a week before the meeting, gathers RSVPs and reports the head count to the restaurant two days in advance, and runs the meeting. The further in advance such aspects as restaurant location and any speakers or discussion programs are arranged, the more smoothly things tend to go (and the less likely it is that any given private room will be unavailable or that a prospective speaker will have a conflict for that evening).
